In regard to our business activities and employee actions when supplying products and services concerning social and/or industrial infrastructure development, Hakko Electronics Co., Ltd. (hereinafter referred to as the “Company”, “we”, “us”, or “our”) handles personal information in accordance with the following basic policies to comply with the Act on the Protection of Personal Information and the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure (hereinafter referred to as the “Act on Numbers”) of Japan, to enhance trust in the relationship between our company and society, and to fulfill our social responsibility.

1. The Company shall handle the personal information of its employees and the personal information of individuals through its business activities in a manner that complies with the Act on the Protection of Personal Information, related laws and regulations, guidelines established by the Japanese government, and other standards.
2. The Company shall establish a personal information protection management system, operate the system appropriately, and continuously improve the system.
3. When collecting and using personal information, the Company shall clearly state the purpose and appropriately handle personal information for only the stated purpose. In addition, the Company shall take measures to prevent the use of personal information outside the scope necessary for achieving the stated purpose. The Company shall not disclose or provide personal information to third parties without due cause or the consent of the individual.
In terms of Specific Personal Information, which is defined as personal information that includes the individual’s Individual Number issued by the Japanese government, the Company shall collect and use Specific Personal Information only within the scope of purposes defined by the Act on Numbers. The Company shall not provide third parties Specific Personal Information unless it is permitted to make the disclosure by law.
4. The Company shall build a management system for protecting personal information and take reasonable safety measures and corrective actions to avoid risks including data leakage, data loss, and damage to data.
5. The Company shall establish a contact point for inquiries regarding personal information and respond promptly and earnestly to questions and complaints regarding personal information as well as requests for disclosing, altering, deleting, and/or stopping the use of the individual’s personal information.

Privacy Policy Regarding Personal Information of Customers

1. Purpose for Using Personal Information
When collecting personal information from customers, we clearly state the purpose for using such personal information and use the information only within the scope necessary for achieving the stated purpose.
When a need arises to use a customer’s personal information outside the scope of the stated purpose, we notify the customer of the need and use the information in the said manner only after obtaining consent from the customer.
We use the personal information of our customers for the following purposes:
1) Shipping products;
2) Providing notices of products, services, and events;
3) Providing maintenance work and services;
4) Responding to questions and inquiries;
5) Delivering materials about products;
6) Fulfilling a contract;
7) Communicating about a business negotiation/meeting or for other reasons.

2. Disclosure/Providing of Personal Information
We do not disclose or provide personal information to third parties except for the following cases:
1) When the consent of the customer has been obtained.
2) When it is necessary in order to protect human life, human health, and/or property even if we are not able to obtain prior consent from the customer.
3) When we receive a legal request.
4) When outsourcing the handling of personal information to an external party within the scope necessary for achieving the purposes for using personal information.

5) When our business is transferred to an external party due to merger, company split, business transfer, etc.

We promptly respond to the following requests from the individual or the individual’s authorized representative regarding the individual’s personal information we have obtained: 1) notification of purpose of use, 2) disclosure, 3) alteration, addition, or deletion, 4) cancelation of use, complete deletion, or cancelation of providing the personal information to third parties, etc.

1) Collection of Personal Information

3. We rigorously manage the customer information sent to us from the contact page of our website according to our Privacy Policy.

Notes Regarding Inquiries from Residents of the Member Countries of the European Economic Area (EEA)

1. The personal data of a customer provided to us through our contact form from the EEA is transferred to Japan and saved on our company’s server in Japan. Although the European Commission has not determined that Japan has an adequate level of data protection as of February 1, 2018, we rigorously manage personal data of all customers based on our Privacy Policy.
2. While it is optional for a customer to provide us their personal information, we may not be able to respond to inquiries if a customer chooses not to provide us such data.
3. Customers are entitled to revoke their agreement on the use and transfer of their personal data at any time. When a customer revokes his/her agreement, we promptly stop using the customer’s personal data and stop responding to any inquiry from the customer. Subsequently, we erase the customer’s personal data that we have obtained.
4. Customers have the right to data portability regarding their personal data. Customers can file a complaint against a supervisory authority or our company.

6. We use global IP addresses that are used to access our website in the same manner as using Cookies as described above.
